Terms of Service – Rushmere Fitness

Appointment Cancellation Policy

  • We kindly ask for at least 24 hours’ notice if you need to cancel or reschedule a session.

  • Cancellations made with less than 24 hours’ notice will be charged 100% of the session fee.

  • Missed or late-cancelled sessions that are part of a package will be deducted from your package balance.

  • This policy ensures fairness and helps us manage our schedule effectively.

Package Refund & Transfer Policy

  • All packages (blocks of sessions or class passes) are non-refundable once purchased.

  • Unused sessions remain valid with no expiry date and can be used across all available classes on our timetable. They are not tied to a specific instructor.

  • Packages cannot be transferred to another person unless agreed by Rushmere Fitness in writing.

  • If you are unable to continue training for medical reasons, please provide a doctor’s note or consultant’s letter confirming that you cannot take part in exercise. We will review your situation on a case-by-case basis.

  • Any refund that is approved will be recalculated at the original purchase value of the package (for example, discounted blocks refunded at the paid rate, not the full class rate).

  • A £30 administration fee will be applied to all refunds to cover processing and administration costs.

Payments

  • All sessions and packages must be paid for in advance to secure your booking.

  • Payment can be made via our accepted methods (card, bank transfer, or via the online booking system).

  • Sessions will not go ahead without cleared payment.

Session Attendance & Lateness

  • Please arrive on time for your session. If you are late, your session will still finish at the scheduled time.

  • If your trainer is late, you will always receive the full duration of your session.

Health Commitment Statement

At Rushmere Fitness, your health and safety are our top priorities. This Health Commitment Statement outlines what you can expect from us — and what we ask of you:

  • Your health is your responsibility. Only take part in exercise that feels right for you.

  • We’ll never push you beyond your limits and will always respect your decisions.

  • Our equipment and facilities are regularly maintained to ensure a safe environment.

  • If you have a disability, injury, or medical condition, please let us know so we can consider reasonable adjustments for your safety and comfort.

  • If you’re unsure whether it’s safe for you to exercise, please speak to a medical professional before attending.

  • Take a moment to read any safety guidelines or notices displayed in the studio.

  • Let us know immediately if you feel unwell during a session. While we’ll always help where we can, our team are not medically qualified.

  • For your safety, please follow any instructions or advice provided by your trainer.

By booking a session, you agree to these terms and acknowledge your responsibility for your own health and wellbeing.

Liability Waiver

  • Participation in training sessions is at your own risk.

  • Rushmere Fitness is not liable for injuries, accidents, or health issues that may occur during or after sessions, unless caused by proven negligence.

  • We recommend seeking medical advice before beginning any new fitness programme.

  • Clients are expected to act respectfully in the studio. Rushmere Fitness reserves the right to refuse service if conduct is deemed unsafe or inappropriate.

Data & Privacy

  • We respect your privacy. Any personal or health information you share with us will be kept confidential and only used to deliver your training.

  • We comply with UK data protection laws (GDPR).
